Consider you’re searching for a crucial note you took weeks ago about a concept you learned online or a new idea that could help propel your latest project forward. You know you saved it somewhere.

Yet, after what feels like an eternity, you’re still empty-handed. Frustrating, right? This scenario is all too common when you don’t have a reliable system for organizing and retrieving your notes. The good news is that this guide will show you how to make and manage notes with AI to avoid this headache in the future.

Constella's AI notes manager can help you achieve your note-taking goals so you can focus on what matters: your work. With this tool, you can stop worrying about organizing your notes and let AI do the heavy lifting.

What is the Code in Second Brain?

Second brain neurons

Second brain code is a way to organize and process information we collect from the world to remember better and utilize it. Tiago Forte developed the second brain system and shared it publicly in 2017. Tiago originally developed the system to help himself keep up with his fast-paced and complex job; however, the system is flexible enough to work for just about any use case.

Building a second brain is based on the idea that to utilize all the available information best, we need an efficient way to organize and process it. Trying to hold all the information we need for a given project in our heads is not the best way to do it. Like the GTD system, BASB believes that your brain is excellent at certain things and not great at others. It's great for seeing connections between ideas, developing creative solutions, and analyzing data.

However, it's not great at remembering vast amounts of information and keeping track of many different activities. By outsourcing those tasks that our brains are generally not good at, we can free up our headspace from having to remember everything and instead focus our brain's potential on what it does best.

Human brains are not hard drives and are not well suited to consuming and processing the thousands of pieces of information we receive daily. By distributing our memory to a digital medium, we augment our capability to recall any information in the future. Organizing information is just one part of the BASB system. The rest of the system shows you how to take all that information and shape it over time to become more useful and valuable.

How Building A Second Brain Works

how it works

The system is based on the CODE method, which stands for 'Capture', 'Organize', 'Distill', and 'Express. ' Information passes through each of these steps.

Capture

The first step in BASB is to capture the information you want in your second brain. The idea is to be selective when capturing. You will have to go through that information in the future, so consider that when choosing what to keep. Some valuable criteria for what to keep in your second brain are:

  • Does it inspire you?
  • Is it helpful?
  • Is it personal?
  • Is it surprising?

If you answered yes to any of these, then it's a good idea to keep it in your system. This may seem straightforward, but it's crucial to get it right as this forms the base for your second brain.

Organize

Before continuing, we should point out that keeping the information in your second brain organized is not meant to be a full-time job or something you constantly do because. The idea is that you manage as you add information and as you use that information. There's no point in trying to keep everything pristine when you will only actively use a tiny percentage of all that information at a given time. The next step in the CODE method is to organize your information. This is where the PARA system comes in. PARA stands for 'Projects', 'Areas', 'Resources', and 'Archive'. You'll store all the information in your second brain in these four areas.

Distill

Distilling is where we turn all that raw information into something more helpful. Our primary tool for doing that is progressive summarization. Progressive summarization distills the data we collected in our second brain to its most essential elements. We do this by taking notes and highlighting the main points each time we review them.

After about two rounds of highlighting, we can also add a summary in our own words to further consolidate what we consider most important. We're getting a two-for-one, reviewing our notes, and leaving behind a more valuable note for the future.

So, each time we return to it, we'll find a more concise and easier-to-digest piece of information. When doing this, the recommendation is to highlight no more than 10 - 20% of the previous layer of highlights. It's essential to remember that you're expected to do this only when you're getting ready to do something with the information and that it's not meant to be homework you constantly have to do.

Express

The last step in the CODE method focuses on repurposing all these curated and distilled notes like Lego blocks when we need them. This is ultimately the system's long-term goal. There are three main ways you'll do this.

Accessing all notes, ideas, and assets from your life on demand Seeing and connecting distant ideas across time and categories Creating new assets, ideas, and documents from your notes.

A large part of this is a shift in thinking. If you follow the other three steps in the CODE method, you should have a growing collection of notes and pieces of information that you can then take and use in new projects. The BASB system asks that we consider each piece of information in our second brain as a potential building block that we could reconfigure and connect with other pieces of information.

As our second brain grows, we have more valuable information to call upon to make our lives easier and as a source of inspiration. Not relying solely on our memory means we can use things from years back that might be relevant today. In other words, we're building up our own personal Wikipedia that we can use to give us an edge in any of our life's projects. Whether that's putting together a presentation on a complex topic, starting a new business, picking up a new hobby, or leveling up your career - if it's essential in your life, chances are you'll already have notes and information on that topic in your second brain.

Benefits of Using Code for a Second Brain

benefits and use cases

1. Tame Information Overload

Does the incessant barrage of information you encounter online leave you feeling anxious or overwhelmed? Consider this: You attend multiple webinars, read dozens of articles, and engage in countless online discussions—all within a week. Your brain is overwhelmed, struggling to organize and categorize information.

That's where the second brain methodology shines. Without it, you'll forget vital details before you even realize it. And trying to connect the dots later is no fun!

The good news? You can retain this information and communicate it effectively with your team using modern tools like note-taking apps, virtual whiteboards, mind maps, and second-brain apps. Collecting and jotting down the key learnings helps you avoid drowning in irrelevant information so you can focus only on what’s critical.

2. Knowledge Retrieval Made Easy

No one has time to scour through endless details to retrieve information key to strategic decision-making. You need the most essential facts at your fingertips.

Let’s say you’re preparing for an important presentation. This time-consuming task requires collecting and condensing much information into fewer words. You’re going through dozens of research articles, industry reports, digital notes from previous presentations, etc.

In such a stressful situation with much to collect and present, the BASB method helps you store the key points from your research in a digital workspace. When everything is stored in one place, you can avoid the hassle of context switching.

Summarize key points, use mind-mapping techniques to convey a compelling narrative, and jot down innovative ideas and angles as they arise during your research. When the time comes, easily retrieve this information and create your final presentation without feeling that you are missing something.

3. Fuel Creativity

When you have a constant flow of thoughts and inspirations, you must jot down ideas and thoughts as they arise quickly. Then, organize them in relevant categories to avoid confusion when you return to them later.

The BASB method helps you create a central repository where you can store images, quotes, articles, or any other source of inspiration. You have something to refer to and act on when you face creative blocks.

It also allows you to combine different ideas, explore new possibilities, and provide space to experiment. The innovative and unique outcomes will then speak for themselves.

Also, consider using interactive whiteboard templates if you want a collaborative approach during ideation. These whiteboards will save you time as you and your team will all work in the same space without needing to share screens repeatedly. Easily connect and ideate together for the best results.

4. Complete Projects Consistently

The BASB method helps you break down complex projects into manageable components, set milestones, and track progress consistently. It’s helpful, especially if you are working on different projects simultaneously.

Let’s say you’re a project manager in a creative agency. Use your digital workspace to create detailed project plans and task lists, prioritize activities, and categorize them based on urgency. This will help you wrap up your tasks on time and in alignment with the requirements.

At the same time, use your second brain to document all project-related details, including decisions, challenges faced, and successful strategies employed. This will become a valuable future reference and ensure a continuous learning process.

2. CODE Your Ideas to Build a Second Brain

The first time you encounter information or an idea isn’t when you most need it. Your efforts in building your second brain are for the benefit of the Future You. The secret to thinking like a curator of your second brain lies in the CODE framework:

CODE Capture

Keep what resonates.

Organize

Save for actionability.

Distil

Find the essence.

Express

Show your work.

Building a second brain isn't about memory. It’s about externalizing knowledge to help you make better decisions when the time comes. As Forte says, “We need a way to cultivate a body of knowledge that’s uniquely our own, so when the opportunity arises—whether changing jobs, giving a big presentation, launching a new product, or starting a business or a family—we will have access to the wisdom we need to make good decisions.” So, learn to CODE as part of your routine. Your personal brand’s future will thank you.

3. Externalize Your Knowledge to Build a Second Brain

Your second brain needs a home. So, it’s crucial to decide where you’ll build it. Since it’s almost always with me, I use my phone as my second brain. When ideas strike—whether at inconvenient times or during everyday life—I can capture them immediately.

I once heard someone say that you’re never as good at remembering your best ideas as you think you will be. So, it’s imperative to capture inspiration and information right away. I rely on the following phone apps to help build my second brain:

Notes

For ideas, lists, budgets, projects, and goals, everything from recipes to research gets captured on my phone's

Pinterest

For vivid imagery to help visualize my ideas and words,

Photos

A few simple folders for projects, Books (or local Library) app: E-book highlights.

These are also searchable, making the systems easier to sift through.

4. Set Your Ideas on a Slow Burn

Building a second brain allows your knowledge to bubble away in the background. And you can use it to create and make better decisions when the right time comes. Rather than a forced effort, simmering knowledge helps set you up for more creative ideas in the future: “…the 'slow burn' allowing bits of thought matter to slowly simmer like a delicious pot of stew brewing on the stove.

It is a calmer, more sustainable approach to creativity that relies on the gradual accumulation of ideas, instead of all-out binges of manic hustle.” This slow-burn strategy is the secret sauce for your personal brand’s unique value. Because the specialized knowledge you’ve gained over time from lots of different pots is much harder for competitors to replicate.

5. Organize by PARA to Build a Second Brain

Forte’s PARA framework stands for Projects, Areas, Resources, and Archives. Instead of organising by topic, organize for actionability:

Projects

Short-term tasks with specific goals or end dates (a report or event)

Areas

Ongoing responsibilities without a clear end (health or finances)

Resources

Materials you might need later (articles or research)

Archives

Everything that’s no longer active (but could be helpful in the future)

6. Share Your Knowledge to Build a Second Brain

There’s little point in researching or reading if you don’t put your mind into motion. As part of your personal brand’s development, expressing (The ‘E’ of the CODE framework) your ideas forces you to capture, organize, and distil them — finding their essence. For instance, I write a book review every week. This follows each new non-fiction book I’ve just read.

While I publish these reviews on my website, I’ve written more than I’ve shared. Still, I’m committed to the process, as it’s my note-taking system for everything I read. My book reviews and their key takeaways help piece together ideas and research for my weekly blog, YouTube channel, and podcast episodes on all things personal branding, marketing, and personal development.

7. Be a Note-Giver, Not Just a Note-Taker

Distilling your notes doesn’t have to be the painstaking task it was in school. It can be as simple as noting a few key points: “Think of yourself not just as a taker of notes, but as a giver of notes — you are giving your future self the gift of knowledge that is easy to find and understand.” Your future self likely won’t recall the idea with the same clarity you have today, so give yourself the best chance of success. Build your second brain to help Future You remember everything you need for everything you want your brand to achieve.
